Virtual EMS

Introduction

Virtual EMS or VEMS is a web-based application that allows users to use a standard
Internet browser to view real-time calendars and event schedules. Virtual EMS
users can also submit online requests and book spaces.

Below you find a quick user guide as well as more detailed information. Please direct any questions to our HelpDesk.

*NOTE: If you haven't changed your password after April 09, 2009 please do so now, non-strong passwords will not work on EMS

Your password must have the following properties:

  • Minimum number of characters in password: 8
  • Maximum number of characters in password: 50
  • You must use at least 1 number in your password
  • You must use at least one upper and at least one lower case letter in your password.
  • Your password must use at least one special character. Special characters include )!@#$%&^&*(?<>.

Quick User Guide

Login and Logout

  • On the site, select My Account - Log In
  • Enter your NetID and MSB password
  • Click Login

  • To logout, select My Account - Log Out

Reservations

  • After having logged in you can make a reservation by choosing the appropriate option under the Reservation tab.

  • Now, provide the appropriate information for the room search. You may also apply certain filters for equipment needs.

  • After having clicked on the "Find Space" button VEMS will provide you with a list of available rooms matching your criteria in the right hand column

  • You can now add a room to your selection by clicking on the green + symbol
  • Once you are satisfied with your selection, press the "Submit Reservation" button.

 

 

Note: First time users are required to add a Group in the Details window. Press the search icon and look for your group (e.g. student, faculty, staff). After having added the group you will be able to select it from the drop-down menu. For more detailed instructions refer to the tutorial below.

  • You may view, edit or cancel your reservations by browsing to Reservations - View My Requests

Group Details Setup

The first time you use the EMS system, you will have to set up your Group Details.

First, click on the magnifying glass.

In the Group Lookup box, type the group you are associated with. For example, if you are a student, type student and then once again hit the magnifying glass.

On the following screen press the green plus sign next to your group to add it to your groups. You can add more than one group.

Close the window once you have made your selection and you can now choose your group from the drop down menu.
